1. Introduction

This Privacy Policy is published by Rsa Appliances Inc., an appliance showroom and systems design business operating at 3345 Michaud Ave, Mississauga - L4T 1P9, Canada (CA). The developer name associated with this website is RSA Appliances, and the showroom, the website and the records described here are operated as one practice under that name. We have written this policy in plain English so that a household can understand what happens to its information without needing a legal background.

We collect a modest amount of information because the work we do requires it. A floor tag needs a unit record, a service sheet needs a history, a delivery run needs an address and an installation window needs a contact number. Everything in this policy follows from those simple needs. We do not gather information for its own sake and we do not sell it.

By visiting the showroom at 3345 Michaud Ave, by using the website at rsaappliances.mom, or by contacting us through email or telephone, you accept the practices described in this policy. If you do not accept them, please do not use the website and speak to us directly before sharing any information at the showroom.

2. Scope of this policy

This policy applies to all information handled by Rsa Appliances Inc. in connection with its showroom services, its website and its communications with households, trade customers and suppliers. It covers the six showroom services, namely Floor Tag Bays, Service Sheet Runs, Delivery Run Desks, Installation Windows, Trade-In Review Rounds and Showroom Tour Sittings, and it covers any related correspondence.

The policy does not apply to third party websites that may be linked from our pages, to payment processors acting under their own terms, or to public records held by government bodies. Where a service is delivered by a partner under its own privacy statement, we will tell you at the point of collection.

3. Who we are

Rsa Appliances Inc. is the organisation responsible for the information described in this policy. Our registered and operating address is 3345 Michaud Ave, Mississauga - L4T 1P9, Canada (CA). Our contact email address is memo@rsaappliances.mom and our contact telephone number is +18108193703.

We work within the professional, scientific and technical services sector, with a focus on computer integrated systems design. That background shapes how we handle records. We prefer systems that are small, legible and auditable, and we apply the same preference to personal information. A record that a household can understand is a record that a household can challenge, correct or ask us to remove.

4. Information we collect

We collect several categories of information, each tied to a specific showroom process.

Identity and contact information

  • Name and, where relevant, the name of a second contact for a delivery.
  • Postal address, including unit or suite number where one is needed for access.
  • Email address and telephone number.
  • Preferred contact method and preferred language of correspondence.

Showroom and transaction information

  • Details of units viewed, shortlisted or purchased.
  • Floor tag numbers and the condition notes printed on them.
  • Service sheet references and the dates of each recorded step.
  • Delivery run slips, installation windows and collection confirmations.

Trade-in review information

  • The make, model, approximate age and condition of an older unit.
  • Photographs taken during a review round where the household agrees.
  • The written review slip and its outcome.

Website and communications information

  • Messages sent through the contact form or by email.
  • Technical information such as browser type, device type and the pages visited.
  • Records of calls made to the showroom line.

We do not intentionally collect sensitive categories of information such as health data, financial account numbers used as payment credentials, or government identification numbers. Where a payment is made, it is processed through a payment provider and we receive only a confirmation reference.

5. How information is collected

Information reaches us in a small number of predictable ways. You may provide it directly when you complete a form on the website, send an email to memo@rsaappliances.mom, call +18108193703 or speak with a guide during a showroom tour sitting. You may also provide it when a delivery run desk confirms an installation window or when a trade-in review round is scheduled.

Some information is created by us as part of running the showroom. A floor tag generates a tag record. A service sheet run generates a history. A delivery run slip generates a route entry. These records are created so that the household can be told, accurately and at any later date, what happened to the unit that it now owns.

A limited amount of technical information is collected automatically when the website is used. This includes the internet protocol address associated with a request, the browser and operating system reported by the device, the referring page and the time of access. This information helps us keep the website available and secure.

6. Why we use information

We use information for the following purposes and for no others without first telling you.

  • To prepare and maintain floor tags, service sheets and unit records.
  • To plan delivery runs and confirm installation windows.
  • To conduct trade-in review rounds and record their outcomes.
  • To answer enquiries sent by email, telephone or the contact form.
  • To arrange and conduct showroom tour sittings.
  • To keep accounting, tax and warranty records as required by law.
  • To protect the showroom, the website and the information we hold.
  • To improve the layout of the showroom and the clarity of its paperwork.

We do not use information to build advertising profiles, to sell lists to data brokers or to make automated decisions that produce legal effects for a household.

7. Legal basis for processing

Where Canadian law applies, we handle personal information in accordance with the Personal Information Protection and Electronic Documents Act and with applicable provincial legislation. We rely on the consent of the individual, on the need to perform a contract or provide a requested service, and on our legitimate interest in operating a safe and orderly showroom.

When another jurisdiction requires a stated legal basis, we identify it as follows. Consent is the basis for marketing correspondence and for optional photographs taken during a review round. Performance of a contract is the basis for delivery, installation and warranty records. Legal obligation is the basis for tax and accounting records. Legitimate interests is the basis for security logging and for protecting the showroom from fraud.

You may withdraw consent at any time by contacting us at memo@rsaappliances.mom. Withdrawal does not affect processing that already took place, and it does not affect records we are required to keep by law.

8. Showroom and service records

The showroom is built around written records and those records may contain personal information. A floor tag identifies a unit, not a person, but the act of reserving a unit can link a tag number to a household. A service sheet records the history of a unit and may include notes from a conversation with the household about how the unit is used.

We keep these records because they support the promise that a household can inspect what it is buying. If you ask to see the service sheet for a unit, we will show it to you with any personal information about another household removed. Similarly, if you ask us to explain a note on your own service sheet, we will do so at the pickup counter or by email.

Showroom tour sittings are recorded only to the extent that a guide notes which services were discussed and what follow up was requested. We do not make audio or video recordings of sittings unless a household asks us to and agrees in writing.

9. Delivery and installation data

Delivery run desks need an address, a contact number and, where relevant, instructions about access. We record these details on a run slip so that the crew can complete the stop without calling you repeatedly from the road. Where a building requires a booking for a service elevator, we record the booking reference and the name of the person who arranged it.

Installation windows are recorded with the agreed date and the part of the day that was promised. If a window has to move, the desk uses the contact details on file to reach the household before the van leaves. For this reason we ask you to tell us promptly if a telephone number or an address changes.

After a delivery is complete, the run slip is closed and filed with the service sheet. We keep the proof of delivery because it supports warranty claims and because it allows us to answer questions about what was installed and when. We do not share delivery addresses with other customers and we do not use them for advertising.

10. Trade-in review information

A trade-in review round produces a written slip describing the older unit and the outcome of the inspection. Where a household agrees, photographs of the unit are taken and attached to the slip. These photographs are used to support the review and to plan collection, and they are not published anywhere.

If the older unit is returned to the showroom for cleaning and resale, the review slip follows it through the floor and is eventually attached to the new floor tag in summary form. The household name is removed from that summary before it reaches the floor. What remains on the floor is the history of the appliance, which is exactly what a future buyer needs to see.

If the older unit is not suitable for resale, the review slip records the disposal route. We keep that record so that a household can ask later what happened to its appliance and receive an accurate answer.

11. Website and technical data

The website is a small, static presentation of the showroom. It does not require an account and it does not process payments. When you visit, our hosting provider records standard server log entries. These entries include the internet protocol address, the requested page, the response status, the browser user agent and the time of the request.

We use server log entries to keep the site online, to diagnose faults and to detect abusive traffic. We do not combine them with showroom records to identify individuals, and we do not attempt to deanonymise visitors. Logs are held for a short period and then deleted in the ordinary course of maintenance.

The contact form on the contact page does not send information to a server on this website. Instead, it prepares an email in your own email application, and the message is sent only when you choose to send it. The content of that message then reaches us in the same way as any other email.

12. Cookies and similar tools

The website does not set advertising cookies and does not use cross site tracking pixels. Our hosting provider may set a strictly necessary cookie to support security and load balancing. Such a cookie does not identify you and it is not used for marketing.

If we ever introduce a tool that stores information on your device for a purpose beyond security, we will describe it here and ask for consent where the law requires. You can also block or delete cookies in your browser settings. Blocking a strictly necessary cookie may affect the availability of the site but will not affect your ability to visit the showroom or to contact us by email or telephone.

13. When we share information

We share information only where it is needed to deliver a service you have asked for, where the law requires it, or where you have agreed. The categories of recipient are limited and are described below.

  • Delivery and installation crews, who receive the run slip details needed to complete a stop.
  • Service partners who inspect or repair a unit under warranty.
  • Accountants and auditors, who receive financial records under a duty of confidence.
  • Hosting and email providers, who process technical data on our instructions.
  • Courts, regulators and law enforcement, where a lawful request is made.

We do not sell personal information. We do not rent contact lists. We do not share household details with appliance manufacturers for their own marketing. Where we use a service provider, we require it to handle information only on our instructions and to apply appropriate security measures.

14. How long we keep information

We keep information only for as long as it serves the purpose for which it was collected or as long as the law requires.

  • Enquiries that do not lead to a service are deleted within twelve months.
  • Service sheets and delivery run records are kept for the length of any warranty plus a reasonable period for claims.
  • Accounting and tax records are kept for the period required by Canadian law.
  • Trade-in review slips are kept for the period that supports the resale history of the reviewed unit.
  • Website server logs are kept for a short maintenance period and then deleted.

When a retention period ends, information is deleted or irreversibly anonymised. Where deletion is not immediately possible because a record is part of an archive, access to that archive is restricted to staff who need it for a legal or accounting purpose.

15. How we protect information

We use reasonable administrative, technical and physical measures to protect information against loss, theft, misuse and unauthorised access. Access to showroom records is limited to staff who need it to serve a household. Paper records are kept in locked cabinets when the showroom is closed. Electronic records are kept on systems with access controls and are backed up regularly.

Email is not a perfectly secure medium, and we ask households not to send payment card details by email. If you need to share sensitive information, call the showroom at +18108193703 and we will suggest a safer method. If a breach of security creates a risk of significant harm, we will notify affected individuals and the appropriate regulator as the law requires.

16. Your privacy rights

Subject to applicable law, you have the right to be told what information we hold about you, to receive a copy of it, to ask for corrections where it is inaccurate, and to ask us to delete it where there is no lawful reason to keep it. You may also object to certain uses, withdraw consent and ask that we restrict how information is used while a question is being resolved.

To exercise a right, write to memo@rsaappliances.mom or call +18108193703. Please describe the request clearly and include enough detail for us to locate the record, such as a tag number, a service sheet reference or the date of a delivery. We may ask for proof of identity before acting on a request, because we do not want to disclose a household record to the wrong person.

We will respond within the period required by law. If we cannot meet a request, we will explain why in writing and tell you how to escalate the matter. There is no charge for a first request, though a reasonable fee may apply where a request is manifestly unfounded or repetitive.

17. Privacy for Children

The showroom and the website are intended for adults who are arranging appliance services for a household. We do not knowingly collect personal information from children. If you believe that a child has provided information to us, please contact us at memo@rsaappliances.mom and we will delete the information promptly.

Where a household visits the showroom with children, a guide may speak with the children as part of explaining how a unit works. No information about a child is recorded unless a parent or guardian asks us to add it to a warranty record. Even then, the record is kept only for the purpose the parent or guardian requested and is not used for any other reason.

18. Links to other services

Our pages may contain links to other websites, including the websites of manufacturers and payment providers. Those websites are not operated by Rsa Appliances Inc. and we are not responsible for their privacy practices. We encourage you to read the privacy statement of any website before sharing information with it.

Where a third party service collects information as part of a showroom transaction, we will tell you at the point of collection which organisation is responsible and what it will do with the information. A payment processor, for example, will handle card details under its own terms while we receive only a confirmation reference.

19. International transfers

Some of our service providers may store data outside Canada, including in the United States. Where information is transferred across a border, we take reasonable steps to ensure that it receives a comparable level of protection. These steps include contractual terms with providers, limiting transfers to information that is necessary, and reviewing provider practices periodically.

If you would like to know whether a particular record is stored outside Canada, contact memo@rsaappliances.mom and we will tell you what we can without compromising security. Governments in other countries may have lawful access to information held there, and we cannot fully control that access, but we choose providers carefully and we keep transfers to a minimum.

20. Changes to this policy

We may update this policy from time to time to reflect changes in our services, our systems or the law. When we make a material change, we will revise the effective date at the top of the page and, where appropriate, tell households who have an active service record by email.

We encourage you to read this policy again when you begin a new showroom service. The version published on this page is the version that applies at the time of your visit. Earlier versions are kept on file and can be provided on request.
